Information on SND's processing of personal data

The Swedish National Data Service (SND) is responsible, in accordance with current data protection legislation, for the processing of personal data. This document describes what types of information SND collects and how that information is used.

Data controller

The University of Gothenburg is the data controller for the processing of personal data carried out within SND’s activities.

Purpose and lawfulness

SND processes personal data on the legal basis of Article 6(1)(e) of the General Data Protection Regulation (GDPR) – performance of a task carried out in the public interest.

Personal data are processed as part of SND’s mandate to support research and education and to engage with society at large. The purpose is to make research data accessible and usable for both the research community and the general public.

For certain functions, processing may be necessary to provide the requested service. This applies, for example, when a user logs in to SND’s website, creates a user account, or submits a request to access data. Processing may also take place in connection with the review of a data description prior to publication, and to enable communication between different parties regarding a data description.

Personal data

Personal data refers to any information that can be linked to you as an individual, such as your name, email address, telephone number, IP address, or place of work.

SND processes the following categories of personal data, to the extent necessary for the respective purposes:

  • Contact details, such as name, e-mail address, telephone number, and any other information provided when contacting SND;
  • Information about organizational affiliation, for example, university, institution, department, or equivalent;
  • Information about role or function, for example, researcher, student, or another professional role;
  • Technical information collected when visiting SND’s websites, including data generated through cookies or similar technologies, used to improve the user experience and manage the website;
  • Information related to participation in conferences, courses or other events organized by SND, such as registration details, dietary preferences, or other practical information provided by you.

How we collect personal data

SND collects personal data to communicate with you and to enable your use of our services. This may occur, for example, when you:

  • Log in to SND’s systems, either via an existing account (for example through SWAMID or ORCID) or by creating an account manually and providing your details;
  • Contact us via a contact form on SND’s website or by e-mail;
  • Submit a request to access data that are shared with restricted access;
  • Manage incoming data requests in DORIS;
  • Describe, review, or publish a dataset in DORIS, as a researcher or as a representative of an organization.

SND has also created internal mailing lists containing personal data in order to communicate about our activities and services.

How we share personal data

Personal data stored by SND constitute official documents and may be disclosed in accordance with the Swedish Public Access to Information and Secrecy Act. Personal data may also be shared where necessary for SND to carry out its mandate or fulfil contractual obligations. This may include, for example, forwarding the information provided in a data access request to the organization responsible for assessing whether the data can be disclosed.

How long we keep personal data

Personal data are retained for as long as necessary to fulfil the purpose of processing. Information provided in connection with a data access request is generally retained for two years. Account details are retained for as long as you have an active account with SND.

In some cases, there may be laws and other provisions that require retention of personal data for a longer period. Personal data contained in official documents are handled in accordance with applicable archival legislation.

Your rights

You are welcome to contact us by e-mail at snd@snd.se if you wish to know what personal data about you are held by us (right of access). You also have the right to request rectification, erasure, restriction of processing, to object to processing, and to receive a copy of your personal data. Please contact us if you wish to exercise any of your rights. You can contact the Data Protection Officer at the University of Gothenburg at dataskyddsombud@gu.se. If you have any objections or complaints regarding how we process your personal data, you have the right to file a complaint to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY).

The SND website uses cookies. Under the Swedish Electronic Communications Act (SFS 2022:482), visitors to a website that uses cookies must be informed:
